Microsoft has minimized the use case for operational archiving by increasing its mailbox capacity limits to 100 GB [E5]. However, Microsoft has a notable gap in its native archive capabilities because they do not offer compliant journal archiving. To compensate for this shortcoming, Microsoft has provided ‘workarounds’ to their customers [such as perpetual legal holds], or they must continue to journal to a third-party archive solution.
A Microsoft 365 or Office 365 mailbox can’t be used as a journaling mailbox. Suppose you’re running a hybrid deployment between on-premises Exchange and Microsoft 365 or Office 365. In that case, you can only designate on-premises journaling mailboxes for your Microsoft 365 or Office 365. You must also deliver journaled messages to an on-premises email archiving system or a third-party email archiving service.
Journaling mailboxes contain sensitive information, so you need secure access to them. Messages in the journaling mailbox may be part of legal proceedings or subject to regulatory requirements.
